Privacy Policy
Last updated: September 2026
Standout Property Photography is a trading name of Samuel Goodwin ("I", "me", "my"), a sole trader based in Withernsea, East Riding of Yorkshire. This policy explains what personal data I collect when you contact me, book a shoot, or use this website, why I collect it, and what rights you have over it.
If you have any questions about this policy or how your data is handled, contact me directly:
- Email: sam@standout-property.com
- Phone: 07475 242898
What data I collect
When you get in touch or book through the enquiry form, I collect:
- Your name, and the name of your agency if applicable
- Email address and phone number
- The property address for the shoot
- Details of the services you've requested (photography, drone, floor plan, video, EPC)
- Any other information you choose to include in your message
When I carry out a shoot, I also produce photographs, video, floor plans and, where booked, an Energy Performance Certificate of the property. Where an EPC is booked, this includes evidence photographs of specific features of the property (such as the boiler, insulation, glazing and meter) taken to support the assessment, as required by my accreditation scheme. This media may incidentally include personal data — for example, people, vehicles, or personal belongings visible in a property at the time of the visit.
Aerial photography and video captured by drone falls under this same policy. I take reasonable care when flying to avoid unnecessarily capturing neighbouring properties or identifiable individuals, and any such incidental imagery is used only for the purpose of the shoot and isn't shared or retained beyond what's needed.
How I use your data
I use the information you provide to:
- Respond to your enquiry and arrange bookings
- Carry out the shoot and deliver the finished photography, video, floor plan and/or EPC
- Issue invoices and keep the financial records I'm legally required to keep
- Where an EPC is booked, lodge the assessment on the national EPC register, as required by law
I don't use your data for marketing without your consent, and I don't sell or rent personal data to third parties.
Who I share it with
I don't share your data with third parties except where necessary to run the business or where the law requires it:
- SimplyForms — the enquiry and booking form on this website is processed by SimplyForms, an EU-hosted and EU-operated form-delivery service, which forwards submissions directly to my email. SimplyForms does not store submissions after delivery.
- The national EPC register — any EPC I produce is legally required to be lodged on the government-run register, which is publicly searchable by address.
- Elmhurst Energy, my EPC accreditation body — evidence photographs and assessment data may be shared with Elmhurst for audit, quality assurance, and professional indemnity insurance purposes, as required to maintain my accreditation.
- Cloud storage and file delivery services — used to store and deliver your photos, video and floor plans.
- My accountant or bookkeeper — for the purposes of preparing accounts and tax returns.
- Legal or regulatory bodies — where I'm required to disclose information by law.
How long I keep it
I keep enquiry and booking details for as long as needed to deliver the service and handle any follow-up. Invoices and related financial records are kept for at least six years, in line with HMRC requirements. Property photography and floor plans are typically kept for a reasonable period after delivery in case a client needs a resend, then deleted. Evidence photographs taken to support an EPC assessment are retained for 15 years, in line with my accreditation scheme's audit requirements.
Cookies and website analytics
This website does not currently use cookies, tracking pixels, or third-party analytics. If that changes in future, this policy will be updated to reflect it.
Your rights
Under UK GDPR, you have the right to:
- Ask what personal data I hold about you, and get a copy of it
- Ask me to correct inaccurate or incomplete data
- Ask me to delete your data, where I'm not required to keep it for legal reasons (such as EPC records or tax purposes)
- Object to or restrict how your data is used
- Ask for your data in a portable format
To exercise any of these rights, just get in touch using the details above. If you're not satisfied with how I've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
